Board of Trustees Meeting

Arcola Public Library District

Those present - Jeff Saunders, Mark Eadie, Alden Nay, Emily Coombe
Absent - Allison Cox, Debbie Sosamon, Carey Wood, Cheryl Switzer (Acting Director), Tina Vandeveer (Bookkeeper)

President Saunders called the regular monthly meeting to order at 6:00 p.m.

Public Comments

  • None
  • Minutes from the the June monthly meeting were presented and reviewed. Coombe motioned to accept the minutes and Nay seconded. The motion carried.

Financial Report

  • Financial report from the month of June was presented and reviewed. Motion was made by Nay to accept the report and to pay bills. Motion was seconded by Coombe. Motion passed with all those present voting yea, no nays.

Librarian’s Report

  • Report received and reviewed. (attached)

Old Business

  • Teen Room renovations are ongoing.
  • Treasurer Coombe presented the bank signature sheet to be signed by all board members. Those present did so. She also shared information about possible options in our banking profile. She also reported that she is now fully bonded.

New Business

  • Because of the late notice from our attorney, the suggested date of August 11 for a public hearing concerning the upcoming Budget and Appropriations Ordinance was not possible (not enough time for 30 day Public Notice). The date of September 8, 2025 at 5:45 pm was chosen for the hearing with a date for publication of a notice, thereof, to be not later than 30 days prior.
  • Otis Elevator will be performing the 6 month maintenance agreement soon.
  • The renewal of the ILLNET/OCLC agreement was approved by consensus.
  • Savior Roofing has successfully repaired the leak in the east front closet. An estimate for repairing the damage to the ceiling in the closet was presented. Complete strip down, new dry wall, plaster and paint at $2,300. It was recommended that the same be done to the west closet as well for the same quote. Motion was mad by Eadie to have the work done for $4,600. Second by Nay and the motion carried
  • Motion to adjourn at 6:35 p.m. by Nay, second from Eadie, motion carried.
