Board of Trustees Meeting

Arcola Public Library District

Those present - Jeff Saunders, Mark Eadie, Alden Nay, Allison Cox, Emily Coombe, Carey Wood, Cheryl Switzer (Acting Director), Tina Vandeveer (Bookkeeper)
Absent - Debbie Sosamon

President Saunders called the regular monthly meeting to order at 6:00 p.m.

Public Comments

  • None
  • Minutes from the the July monthly meeting were presented and reviewed. Nay motioned to accept the minutes and Wood seconded. The motion carried.

Financial Report

  • Financial report from the month of July was presented and reviewed. Motion was made by Eadie to accept the report and to pay bills. Motion was seconded by Coombe. Motion passed with all those present voting yea, no nays.

Librarian’s Report

  • Report received and reviewed. (attached)

Old Business

  • Teen Room renovations are ongoing.
  • The leak issue, being dealt with by Savior Roofing, is still in progress. Saunders will also contact to secure a W9 and Certificate of Insurance.

New Business

  • The Building and Maintenance Tax Ordinance 25-01 request of 2% was approved by consensus, signed and submitted to the County.
  • The Tentative Budget for the FYI 2025-2026 was presented for approval. Eadie made the motion to approve, Nay seconded and the motion carried.
  • Mike Lindenmeyer spoke to the board about his concerns with the “Scout Cabin” that is located on library property. The Lions Club, which has insured the building in the past, is dissolving and will be canceling the current insurance on the building. Who “owns” the sturcture. It was recommended that our lawyer be contacted, a.s.a.p., about the situation. (Cheryl to initiate) It was also recommended by Lindenmeyer that we consider raising our deductible from $500 to at least $1000. This approved by consensus. The board ask him to put together a possible proposal for review at the next board meeting.
  • A license for public showing of movies by the library was discussed. Swank Movie Licensing offers a license for legally showing copyrighted media for a $400/$475 annual fee. $400 for showing of media “owned” by the library and an additional $475 for streaming media from their online catalog. This item was tabled until the next meeting for further thought.
  • Motion to adjourn at 6:45 p.m. by Coombe, second from Nay, motion carried.
